NSO - Adding new shops

New shops will be received into the Client Support desk. Each email will have an NSO form attached with all the relevant information we need.


We need to open the NSO tracker spreadsheet which lives in the SharePoint > Z drive > Pret A Manger > NSO - New Shop Openings. Fill out the spreadsheet and follow the below process. 


  1. 1) Create the branch on the Hive, using the NSO form for info. 




- Add information to the diner brief to indicate whether there is a toilet:

Important information about this shop:
  • This shop does have a toilet. You must visit the toilet for your report to be accepted. If you cannot find the toilets, ask a staff member.
OR

Important information about this shop:
  • This shop does not have a toilet.

-Ensure to choose the relevant brand (UK, Europe, Asia or North America), and change the branch name display settings as per the below:


- Add the relevant branch tags i.e. Hot Food, Yes/No and Seating Area, Yes/No. This will trigger the relevant questions in the questionnaire to appear.
-For tags, Drink Speed, Queue Speed and Scenario, select 'Standard'



 

  1. 2) Create the shop manager and update existing managers.


- Manager emails are in the format of - UK0###@pret.com # = shop number/branch code.

- We also need to tick the 'Hide reports till end of period', so these remain hidden on the Hub until the end of the period.
- Send Hub Welcome email.


 

- Shops need Hub Access and PDFs ticked, for their shop only.


- Using the NSO tracker, ensure to tick Hub Access for all managers listed.

- The Ops Manager requires Hub Access, Appeals and BVRS. In this example is Aziz Saadouni

- The Region Head requires Hub Access and Appeals. In this example it's City, so David Catoni.

- The Ops Market group, Ops Region group and PRET AREA groups need Hub Access only. In this example is Ops UK, Ops City and PRET AREA - Bishopsgate

       3) Add the shop to the range table 

This is to enable the assessor to have the correct questionnaire assigned for their day and time of visit. The current range table version can be found in SharePoint: Z Drive> Pret a Manger> Range.

- Use the NSO form to input the range and times on the excel Range table.




  

- The following rules must be followed for this spreadsheet, otherwise the Dev team will not be able to run this in and ask you to fix it:

  1. The Brand must match that of the branch brand on admin.
  2. The Shop Number must match that of the branch number on admin.
  3. The START TIME and END TIME must be in the HH:MM format.
  4. The DAILY tag must be the first 3 letters of the day to match the questionnaire tags on admin, e.g. Monday = MON.
  5. The DAY PART tag must match the questionnaire tags on admin. There can only be one of each day part per day and this is only applicable to the COLD tab.
  6. The PRODUCT tag must match the questionnaire tags on admin. There can only be one product per tab.
  7. The TARGET tags must match the questionnaire tags on admin. These are determined by the range type the branch is. In this example type C is Low range.

The current targets for range can be found in SharePoint: Z Drive> Pret a Manger> Range> Range Requirements.
And Delivery targets in SharePoint: Z Drive> Pret a Manger> Digital MS.


It is easier to copy a previous shop's range targets and times to get the format correct, and then update the times and targets for the shop you are adding.

A = High range, B = Medium range and C = Low range.

Notes
Remember to add to all tabs on the spreadsheet, even if the shop is not offering delivery - they might one day!


      4) Add a ticket for Dev


In order to run in the range table with the new shop, a ticket has to go to Tracey. 

This needs to detail:
  1. What has changed in the version to previous - e.g. "a new shop 658 Chiswick High Road". This is important for testing.
  2. Which questionnaire this is to be tested on - if different to the current version.
  3. When the range table needs to be run in - this has to be at the start of the period on a Wednesday morning, so as to disrupt as few visits as possible.
The updated file needs to be attached and the due date set. Example ticket below (due date was Wed 5th @ 9am):




      7) Add visits to the system.
The shop's first visit will be around a week after their opening.

For example, if the shop is due to open on the Wednesday-Sunday, a visit will be added for the week beginning the following Wednesday.



 If the shop is opening Mon/Tues, we would add for the week after.


 


There are no differences in questionnaire or criteria!
