Every Monday, we receive a ticket in Client Desk with subject "PLEASE DO NOT REPLY TO THIS EMAIL – Houselist Attached
[Date]".
We need to check this file for any changes to locations and location names using the below process:
1. Download file from the weekly email.
2. Open up 7zip application, navigate to the file and then
click “Extract”:
3. Double click the file and you will be prompted to
enter a password to unlock the file, which is 'support@hgem.com_K1664'
This file contains sensitive data so the password must be kept
secure and confidential
4. Copy the file to a location by dragging it
out of the window (desktop is easy for access).
You can’t open
two files with the same name update/rename this file so you can identify
the old file from the new.
5. Open both files and copy columns A and B 'Ship-to party' and 'Rental Obj Name' from last weeks' file to the new one.
6. Highlight columns A and B and the columns you copied over (in the example this is columns Q and R) then select Conditional Formatting> Highlight Cells Rules> Duplicate Values.
7. Choose to highlight Unique values:
8. Review any highlighted cells.
- For this file, Broncos Sheffield needs to be retired as both the branch ID and Name is highlighted.
- In addition, Mousetrap Edinburgh needs to be renamed to Dog House Leith Edinburgh and Bar1 Ascot renamed to Falak Royal Ascot, as the branch IDs have not been highlighted and are the same.
9. Remove the Conditional Formatting.
10. Filter column J 'Cont Type Desc' to see sites listed as "MRO FRI" or "MRO IRI".
11. Repeat the steps above with the "MRO" filter and retire any branches as needed.
12. Filter Column K "Vac.Reason Name" to see sites that are currently closed.
13. Repeat the steps above with the "Vac.Reason" filter and retire any branches as needed. You may need to cancel visits for any new closures.
Changes to Area and Site Manager will be confirmed by our Star contacts separately.
Once the check has been completed, please delete both files.
