Menu Imports/Updates

All capabilities and processes of the Menus and Products pages on the Hive.

Viewing a Menu
- Click on the menu name in the Hive to view a menu version.

- This will show you the menu details, including code, start date and end date. You also have the option to export the menu file from this page.
- You can also view a list of products and branches associated to the menu by navigating the the "Products" and "Branches" tabs.


Adding a New Product (without a menu import)
- The "Products" page in the Hive shows all products associated to a client.
- To add a new product, select "Add product".

- Enter the product name, code and add an image (if applicable), then "Save"/"Save and add another".

- Once the product has been added to the Hive, navigate to the "Products" tab of the menu you wish to add the product to and select "Edit products".

- Search for the product you wish to add and tick the box and select "Confirm".

- Add the "Type" and "Product order", then select "Confirm".

- You can confirm the product has been successfully added by searching for it on the menu "Products" tab.

Removing a Product (without a menu import)
- To remove a product on a live menu, navigate to the "Products" tab of the menu and select "Edit products".

- Tick "Show assigned products with details"
- Search for the product you wish to remove, set an Expiry date and select "Confirm".

- You can confirm the expiry has been successfully applied by searching for it on the menu "Products" tab.
Warning
The product will no longer show on the menu on the survey/questionnaire after the date chosen has passed. In the above example, it will be visible on the 1st Feb, then will be hidden on 2nd Feb.

Editing the "Type" of an Existing Product
- To edit a product on a live menu, navigate to the "Products" tab of the menu and select "Edit products".

- Tick "Show assigned products with details"
- Update the "Type" and "Confirm"

Update the Name or Image of an Existing Product
- To update the name of an existing product, navigate to the "Products" page in the Hive and select the product name.

- Update the name and/or upload a new image and "Save"
Warning
If you update the Product Code this will create a new product.

Adding/Removing a Branch
- To add a branch to a live menu, navigate to the "Branches" tab of the menu and select "Add/Edit Branches".

- Tick/Untick the relevant branch and "Confirm"

- You can confirm the branch has been successfully added or removed by searching for it on the menu "Branches" tab.


Exporting Menu Files
- When a client wishes to make an amend to their existing menu, please supply them with the export of the current file from Hive.
- There is an "Export menu" button next to each menu version under "Menus" in the Hive.
- You also have the option to export the menu file from within the menu details.


Alert
When sending over the export menu file, please remind the client not to change any of the header or tab/spreadsheet names in the file.

Import a Menu File
- Select "Import Menu", in the "Menus" page in Hive.

- Drag & drop the updated file, or click to upload.

- Review the generated list of products and "Save"


- Review the start date of the menu and associated branches to ensure this is all correct/as expected.
- This menu will show on the survey/questionnaire on the date specified.
Idea
To check if the menu is appearing as expected on a survey, you can use QA and update the start date of the new menu to the current day. You can then view this menu on the QA survey link.

Common Menu Import Errors
Header names are missing/incorrect:
- Below the system has flagged the column headers "branch code" and "branch name" are incorrect/missing on the file.

Spreadsheet/tab names are missing/incorrect:
- Below the system has flagged it does not recognise the spreadsheet/tab name "branches".

The menu name is not unique:

Duplicate product sequencing numbers:
-Below the system has flagged sequence number 196 is duplicated.

Product codes are not unique:
- Below the system has flagged product code 302 is duplicated.

Duplicate product names:
- Below the system has flagged the product name "miso soup" is duplicated, but with a unique product code.

Alert
As the product code is unique, the menu will still import.

Invalid data e.g. cell format is incorrect or there is hidden data:
- To resolve the first error, change the cell format for the date to 'Text'
- To resolve the other errors, delete row 168 from the file to remove any hidden data.


Adding an End Date to a Menu
- When importing a new menu, it is important to add an end date to the previous menu going forward. 
- The end date of the previous menu should be the same date the new menu is starting to ensure there are no gaps.


- If a client is running a seasonal menu for a set time only, and has confirmed they would like to return to the standard menu after a certain date, you can set an end date on the new menu, but leave the end date on the previous menu blank.
- This will ensure the system returns to the previous menu on the date the new menu ends.
- In the below example, the menu starting 31st Jan will end on 28th Feb. As the next most recent menu has no end date, this will be what shows on the survey from 1st Mar.
